Privacy Policy

Warriors Team Brisbane ("we", "us", "our") is a volunteer-led community sports movement in Brisbane, Australia. This notice explains what personal information we collect through the Warriors App and our website, why we collect it, who processes it on our behalf, and the choices you have. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

1. What We Collect

Information you give us when you create an account and register for sessions:

We ask for name, date of birth, country, and postcode because they are what let us confirm our insurance covers you if something happens at a session.

Health information. You can optionally tell us about health conditions relevant to your safety during activities. Health information is sensitive information under the Privacy Act. We collect it only with your consent, only to keep you safe at sessions and to meet insurance requirements, and you can remove it at any time from your profile.

Attendance and activity. We record which sessions you register for and attend, your check-ins, and achievements such as streaks.

Sign-in information. If you sign in with Google, we receive your basic profile information (name, email address, profile picture) from Google. If you sign in with your phone number, we verify it by SMS. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Location. With your permission, the mobile app can use your device location to check you in automatically when you arrive at a session venue. Location is used at the moment of check-in and is not stored as a location history. You can refuse or withdraw this permission in your device settings, and the rest of the app keeps working.

Technical information. Our servers and analytics record standard technical data such as IP address, device and browser type, operating system, and which screens you use. We use this to keep the service running, fix problems, and understand which features are useful.

2. How We Use It

We do not sell your personal information, and we do not share it for advertising or marketing. You will not receive ads from Warriors. The only messages we send are the ones tied to notification settings you control in the app.

3. Who Processes Your Information

We are a volunteer group and we do not run our own infrastructure. To operate the app we rely on service providers who process personal information on our behalf, under agreements that limit them to providing that service to us. Some of them process information outside Australia, including in the United States.

We may also disclose personal information where the law requires it, or to protect the safety and rights of our members and volunteers. If Warriors Team Brisbane ever merges with or transfers its activities to another organisation, personal information may be transferred as part of that, and we would tell you first.

4. AI-Powered Features

Some parts of our service are powered by artificial intelligence. Today that means one thing:

These features are powered by third-party AI service providers. When you interact with them, for example by messaging our WhatsApp assistant, the content of those messages, including names and payment confirmation images, is processed by these providers on our behalf, and may be processed outside Australia. Our providers act under agreements that do not permit them to use your information to train their AI models. All personal information processed this way is handled in line with this notice.

5. Cookies and Analytics

We use cookies and similar technologies to keep you signed in, remember your preferences, and measure how the app and website are used. We use Google Analytics for this. We do not use advertising cookies and we do not build advertising profiles. You can block cookies in your browser settings, though some features may stop working. You can opt out of Google Analytics using Google's opt-out browser add-on. Browsers do not yet share a common Do Not Track standard, so we do not currently respond to Do Not Track signals.

6. How Long We Keep It

We keep your personal information for as long as your account is active and you take part in Warriors activities. If your account becomes inactive, we keep it for up to 36 months and then delete or anonymise it, unless we are required to keep it longer for insurance, tax, or other legal reasons. When we no longer need your information, we delete or anonymise it. Where that is not immediately possible, for example because it sits in an encrypted backup, we isolate it from further use until deletion is possible.

7. How We Protect It

We use reasonable technical and organisational measures to protect your information, including encrypted connections, access controls that limit member data to the volunteers who need it, and regular backups. No system can be guaranteed completely secure, so we cannot promise that unauthorised access will never happen. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by law.

8. Children

You must be at least 16 years old to create an account. We do not knowingly collect personal information from anyone under 16. If you believe a child under 16 has given us their information, contact us and we will delete the account and the data.

9. Your Rights and Choices

You can review and update most of your information yourself in the app, under Settings. You can also turn each notification type on or off, and delete your entire account from Settings under Account. Deleting your account removes your personal information from our active systems.

Under the Privacy Act you have the right to ask for access to the personal information we hold about you, to ask us to correct it if it is wrong, and to withdraw a consent you previously gave, such as location access or health information. Withdrawing consent does not affect processing we carried out before you withdrew it. To make a request, email us at the address below.

If you think we have mishandled your personal information, please contact us first so we can put it right. You can also complain to the Office of the Australian Information Commissioner. If you live in New Zealand, the equivalent regulator is the Office of the Privacy Commissioner.

10. Changes to This Notice

We may update this notice as our services change or to stay current with the law. The date at the top shows when it was last revised. If we make a material change, we will tell you in the app or by a notice on this page.
